Summary
Overview: Your store email connects a Gmail account to Prosperna so you can email customers from your own address. Prosperna uses it when you email your contacts and when you send abandoned-cart reminders. You connect it by signing in with Google, so there is no password or app password to type and nothing for Prosperna to store.
Prerequisites:
- A store on the Launch, Grow, Scale or Premium Trial plan.
- Store owner access, or a team member with Store settings & administration access.
- A Gmail or Google Workspace account you can sign in to.
- A browser that allows popups for Prosperna. The Google sign-in opens in a popup window.
Step-by-Step Instructions
Step 1: Open Email Integration
- In the sidebar, click Settings, then Messaging.
- Click Email Integration in the side menu. The Email Integration card (Send emails to your customers) opens.
- At the top of the card you see Gmail, Secure OAuth 2.0, no password required, and a status badge: Connected, App password or Not Connected.
Step 2: Connect your Gmail account
- Click Connect Gmail. If your store still uses the older app-password setup, or Google stopped accepting your account, the button reads Reconnect with Google instead.
- A Google sign-in window opens. The button changes to Waiting for Google sign-in... and the card says Complete the sign-in in the popup. This page will update once connected.
- Sign in to the Gmail account you want to send from.
- On the Google permission screen, leave the Send email on your behalf box ticked. Prosperna cannot send your emails without it.
- When Google is done, the popup closes by itself and you see Gmail connected successfully.
Step 3: Check the connection
The card now shows:
- A green tick, your connected Gmail address and Connected via Google OAuth.
- Emails left today with a bar and a count, for example 500 / 500.
- Usage Reset: the date your daily allowance goes back to 500.
- A Disconnect button.
Step 4: Watch your daily usage
Each store can send 500 emails every 24 hours through its connected Gmail. Emails left today counts down as you email contacts and as abandoned-cart reminders go out. When it reaches 0, sending stops until the Usage Reset: date.
Step 5: Disconnect the account (when you need to)
- Click Disconnect.
- The Disconnect Gmail box warns that Emails to your leads and customers will stop sending from [your address] until you connect a Gmail account again.
- Click Disconnect to confirm. You see Gmail disconnected.
If your store still has an older app-password setup saved, Prosperna falls back to it for sending. Otherwise emailing your contacts stops until you connect a Gmail account again.
Verify It Worked
Success criteria:
- The badge next to Gmail reads Connected and your Gmail address is shown with Connected via Google OAuth.
- Emails left today and Usage Reset: are filled in.
- In Contacts, selecting a contact and clicking the envelope icon opens Send Email instead of Email Setup Required.
Troubleshooting
Common errors
- "Google sign-in was cancelled. Please try again.": you closed or declined the Google screen. Click Connect Gmail again.
- "Prosperna needs permission to send email from your Gmail. Please try again and keep the 'Send email on your behalf' box ticked on the Google screen.": the sending permission was unticked. Start again and leave it ticked.
- "We could not send the test email from your Gmail. Please try again.": Google accepted the sign-in but refused the first send. Try connecting again.
- "Your sign-in session expired. Please try again.": too much time passed between opening the popup and finishing. Click Connect Gmail again.
- "The Google sign-in window was closed before Gmail was connected. Click Connect Gmail to try again.": the popup was closed too early.
- "Your browser blocked the sign-in popup. Please allow popups for this site and try again.": allow popups for Prosperna in your browser, then try again.
- "Gmail connection timed out. Please try again.": the sign-in took longer than about two minutes. Try again; if your Google account uses 2-Step Verification, have your phone ready first.
- "Could not start the Gmail connection. Please try again." or "Something went wrong connecting Gmail. Please try again.": a temporary problem. Try again in a few minutes.
- "Google stopped accepting emails from your connected Gmail account. Please reconnect to keep sending emails.": the connection is no longer valid, usually because access was removed in your Google Account. Click Reconnect with Google.
- "You are using the old Google SMTP setup with an app password. Connect your Gmail with Google below for a more secure setup. You will not need an app password anymore.": your store is on the older setup. It still sends, but connect with Google when you can.
- "No active sending email is set up for this store. Configure one under Settings > Messaging before sending reminders." (on Abandoned Carts): connect your Gmail using this article, then send the reminder again.
Limitations & considerations
- Only Google (Gmail or Google Workspace) accounts can be connected.
- 500 emails every 24 hours per store, shared by contact emails and abandoned-cart reminders.
- Prosperna never sees or stores your Google password. Removing Prosperna's access in your Google Account stops sending, and the card then asks you to reconnect.
- Stores that connected before this change may still show the App password badge. Those settings keep working until you reconnect with Google.
- Order notification emails to your customers are sent by Prosperna under your store name. They don't need this setup.
- If your store uses the Catalog with inquiries Store mode, the Pages list reminds you to connect Gmail so inquiries reach your inbox.
