Summary
Overview: A product is anything physical you sell in your online store. You add it from Products → Inventory with a single form: name, categories, description, images, price, stock per store location, and size and weight. A new product is saved as Unpublished, so customers don't see it until you publish it.
Prerequisites:
- A store on the Launch, Grow, Scale or Premium Trial plan.
- Store owner access, or a team member with Products Create access.
- At least one store location. If you don't have one yet, Prosperna asks you to set it up when you click Add Product. See How to Add Your Store Location.
- At least one image of the product, at least 250 x 250 pixels.
Step-by-Step Instructions
Step 1: Open the product form
- In the sidebar, click Products, then Inventory.
- Click Add Product, click Add a Product ▶, then click Physical Product.
- If your inventory is empty, the page shows No Products Yet. Click Add Product, then Physical Product.
- To sell a downloadable file or an access link, choose Digital Product instead. See How to Sell Digital Products.
- The product form opens. The menu on the left (Add a New Product) lists every section. Click a section name to jump to it.
Step 2: Fill in the product info
In the Physical Product Info section:
- Product Title (required): the name customers see.
- Slug (optional, up to 50 characters): the last part of the product's page address. Only lowercase letters, numbers and hyphens are allowed. If you leave it blank, Prosperna creates it from the product title.
- Categories (required): tick at least one category. Click Add Category to create one without leaving the form, or Edit to open your Categories page. See How to Organize Products with Categories.
- Brand (optional).
- SKU (optional): your own stock code. Use letters and numbers only. Tick Display SKU to show it on the product page.
- Always in Stock: turn this on if the product never runs out. Stock quantities are then shown as Infinite.
- Unpublish When Out of Stock: turn this on to hide the product automatically when it has no stock left.
- Default Category of the Breadcrumb Trail (required): choose the main category shown in the navigation path on the product page. You can also choose a Default Subcategory of the Breadcrumb Trail.
To add a product label, see How to Use Product Labels.
Step 3: Write the description
In the Product Description part of the same section:
- Short Description (required): one or two sentences about the product's key selling points.
- Long Description (required): full details. Use the toolbar for lists, headings, bold, italics, underline, strikethrough, alignment, and to insert an icon.
Let Max write it for you (store owners only):
- Fill in Product Title first.
- Click Generate with AI. The Max — Generate Product Description panel opens.
- Pick one of the suggested options. Max fills in both the Short Description and Long Description. You can edit the text afterwards.
Generating uses AI credits. If you don't have enough credits, Prosperna tells you before anything is generated.
Step 4: Add images and videos
Featured Image (required):
- Click Add Image. Your Media Library opens. Select images already there, or upload new ones, then click Select.
- You can add up to 5 images per product. Each must be at most 10 MB, at least 250 x 250 pixels, and a .jpg, .png or .webp file.
- Drag the images to change their order. Click the × next to an image to remove it.
Featured Video (optional):
- Click Add Video URL and choose videos from your Media Library. Videos must come from YouTube or Vimeo.
- You can add up to 5 videos.
Step 5: Set the price
Skip this step if the product comes in sizes, colours or other options. Turn on variants instead and set a price for each one. See How to Add Product Variants.
In the Price section:
- Price (required): what customers pay. Up to 2 decimal places.
- Sale Price (optional): a discounted price shown to customers instead of the regular price. It must be lower than Price.
- Unit Cost (optional): what one unit costs you. Your Margin is calculated for you (Price or Sale Price, minus Unit Cost).
- Minimum Order Quantity (optional): turn it on to make customers add at least a set number of this product to their cart before they can buy it. Choose from 2 to 100.
If you've activated the Wholesale app, a Wholesale Pricing section also appears here.
Step 6: Set the stock for each store location
The Multilocation Inventory section lists the store locations that carry the product, with their Available Stock Quantity.
- In Update Quantity, type how many units to add (for example
5), or use a minus sign to remove units (for example-5). You can also use the - and + buttons. - Click Update on that row. You see Successfully updated stock quantity.
Stock is saved as soon as you click Update. You don't need to click Save for it.
Carry the product in more store locations:
- Click Manage Locations.
- Tick each store location that should carry this product. At least one must stay ticked.
- Click Save. You see Successfully updated store location settings.
Ticking a store location other than your default store location also makes the product visible to customers ordering from that location. Your default store location follows the product's Published/Unpublished status (Step 10).
Store owners can also click Add New Location in this window to create a new store location.
Step 7: Enter the size and weight
In the Size & Weight section (needed so delivery fees can be calculated):
- Under Product Size, enter Length, Width and Height, and choose a Unit: mm, cm, in or m.
- Under Product Weight, enter Weight and choose a Unit: g, kg, lb, ml, l or oz.
- To hide the size and weight from your product page, turn on Hide Product Size and Weight. If you've hidden size and weight for all products in your store, this switch is already on and can't be changed here.
All four values are required. They accept up to 2 decimal places.
Step 8: Add the optional extras
- Related Products: show other products from your store on this product's page. You can rename the section with Section Name.
- Add-ons: extras customers can add to this product. See How to Offer Product Add-ons.
- Search Engine Optimization: set the page title (aim for 70 characters or fewer), the description (aim for 170 characters or fewer) and keywords that search engines show. The Search Engine Listing Preview shows how the listing will look. Store owners can click Generate with AI to have Max suggest the title and description. This needs Product Title and Brand filled in first.
Step 9: Save the product
- Click Save at the bottom of the form.
- You see Successfully created product. and you're taken back to Inventory.
If you try to leave the form with unsaved changes, an Unsaved Changes box asks Do you wish to save before leaving? Click Save to keep your work, or Discard to leave without saving.
Step 10: Publish the product
New products are saved as Unpublished. To make the product visible to customers:
- On Inventory, find the product.
- If you have more than one store location, first click the filter button, choose a location under Store Location, and close the filter panel. The Publish option only appears once one location is selected.
- Click the ⋯ button on the product's row, then Publish.
- You see Product successfully published.
For more on publishing, editing and deleting, see How to Edit, Publish or Delete a Product.

- "Invalid Number": Price and the size and weight values accept numbers with up to 2 decimal places.
- "Sale price must be lower than the regular price.": lower the Sale Price or raise the Price.
- "Price amount limit reached.": the price is above the highest price Prosperna accepts (3,500,000).

- "You have reached the maximum limit of published products based on your current subscription plan. To add more products, upgrade your plan.": you've reached your plan's published-product limit (see below). Unpublish another product or upgrade your plan.
- "At least one published store location is required." in Manage Locations: keep at least one store location ticked.
- "View Product Error" when you click View: the product is still unpublished. Publish it first.
Limitations & considerations
- Published products per store location: Launch up to 50, Grow up to 100, Scale and Premium Trial no limit. The limit counts published products only. Unpublished products don't count.
- A product can have up to 5 images and 5 videos.
- If you've connected Lazada, product images must be at least 330 x 330 pixels, and SKU is required.
- If you give a new product a slug that another product already uses, Prosperna adds a unique ending to it automatically.
- Turning on variants switches off Unpublish When Out of Stock and replaces the Price, Multilocation Inventory and Size & Weight sections with per-variant settings.
- The Generate with AI buttons are only shown to the store owner.
