Summary

Overview: With Manual Payment Methods (previously called Direct Transfer), customers pay straight into your own e-wallet, bank or other payment accounts, for example GCash, Maya or a bank account. At checkout they choose Manual Payments, see your account details, send the payment, and upload a screenshot as proof. You check the payment in your account and then mark the order as paid. The money never passes through Prosperna.

Prerequisites:

  • A Philippine or US store on the Launch, Grow, Scale or Premium Trial plan.
  • Store owner access, or a team member with Billing access.
  • At least one account where customers can send money (GCash, Maya, BPI, BDO, UnionBank, or any other bank, e-wallet or payment account).
  • Optional: a QR code image (PNG or JPG) for each account.

Step-by-Step Instructions

Step 1: Open the Manual Payment Methods page

  1. In the sidebar, click Settings, then Payments.
  2. Under Prosperna Payments, find the Manual Payment Methods card.
  3. Click Manage.

Step 2: Add your accounts

Under Payment Methods, fill in one row for each account:

  1. Provider: choose GCASH, MAYA, BPI, BDO, UNIONBANK or OTHER. For any account not on the list (including US bank accounts), choose OTHER.
  2. Account Name: the name on the account, for example Juan Dela Cruz.
  3. Account Number: the mobile number or account number.
  4. QR Code Image (optional): choose a PNG or JPG file. A preview appears when the upload finishes.

To add another account, click + Add Payment Method. To remove an account, click the trash icon on its row (shown when you have more than one row).

You can add up to 10 accounts. Account names and numbers can be up to 100 characters each. Every row needs a provider, account name and account number, so remove any empty rows before you save.

Step 3: Add details for customers (optional)

Under Additional Details, type any instructions, for example Send the exact amount and keep your transaction reference number. You can use up to 500 characters. Customers see it at checkout when they choose Manual Payments.

Step 4: Turn it on and save

  1. Turn on the Accept Manual Payments switch.
  2. Click Save.
  3. You see Direct Transfer Saved and Direct Transfer is active. Customers can now pay your accounts at checkout. You return to the Payments page.

To stop offering manual payments, turn the switch off and click Save. Your accounts stay saved for later.

Step 5: See what your customers get at checkout

When a customer chooses Manual Payments at checkout, they see:

  • Step 1: Send your payment directly to any account below:, your store name, and each account with its provider, account name, account number and QR code.
  • Your note, if you added one.
  • Step 2: Enter your payment reference or transaction number. The customer can leave this blank.
  • Step 3: Upload the screenshot as proof of your payment. (JPG or PNG, up to 10 MB).
  • Your order will be confirmed after the merchant verifies your payment.

The Pay Now button stays disabled until the customer uploads a screenshot.

Step 6: Confirm the payment on the order

When a customer places a Manual Payments order, you get a dashboard notification: New Order — Payment Verification Needed. The order starts as Pending with a payment status of Awaiting Payment.

  1. In the sidebar, click Orders, then open the order.
  2. In the Payment section, Payment Type shows Payment Link. Click View Proof of Payment to see the customer's screenshot. If the customer entered a reference number, it appears as Reference No.
  3. Check your account to make sure the money arrived.
  4. In Payment Status, choose:
    • Paid if you received the payment. The order moves to Processing, and the customer gets an order confirmation email.
    • Declined Payment if you can't find the payment. The order is declined and the stock is returned to your inventory.
  5. Click Update, then click Update again to confirm (Are you sure you want to update this order?).

Verify It Worked

Success criteria:

  • You saw Direct Transfer Saved.
  • On Settings → Payments, the Manual Payment Methods card shows Connected.
  • On your store's checkout page, Manual Payments appears with your accounts.

Troubleshooting

Common errors

  • "Each payment channel requires a provider, account name, and account number.": a row is incomplete. Fill in the missing details, or remove the empty row with the trash icon, then click Save.
  • "A maximum of 10 payment channels is supported.": remove accounts until you have 10 or fewer.
  • "Account name and account number must be 100 characters or fewer.": shorten the account name or number.
  • "QR code image must be an uploaded https image URL." or "QR code image URL is too long. Re-upload the image and try again.": upload the QR code image again.
  • Upload Failed: "Failed to upload QR code image.": the QR image didn't upload. Try again with a PNG or JPG file.
  • Save Failed: "Failed to save your Direct Transfer settings. Please try again.": nothing was saved. Try again in a moment.
  • Manual Payments doesn't show at checkout: check that the Accept Manual Payments switch is on. It also doesn't show when:
    • the customer chooses Same Day Delivery or Scheduled Delivery
    • the cart has only digital products
    • the customer orders from a QR menu (table) code
  • A customer sees "Payment Link orders cannot have a digital product.": Manual Payments can't be used when the cart contains a digital product. The customer needs to remove the digital product or choose another payment method.
  • A customer sees "Proof of payment screenshot is required on orders via Payment Link.": the customer needs to upload the payment screenshot before placing the order.

Limitations & considerations

  • Manual Payment Methods is available to Philippine and US stores. The Provider list is the same for every store, so US stores choose OTHER.
  • The save message still uses the old name: Direct Transfer Saved.
  • Prosperna doesn't check the payment for you. Always confirm the money is in your account before you mark an order Paid.
  • Manual payments go straight to your accounts, so they are not added to your Prosperna balance.
  • In the order details and in the Payment Type filter on the Orders page, Manual Payments orders are labelled Payment Link.
  • After you choose Declined Payment, the customer can't upload a new proof for that order. They need to place a new order.
  • If you book a Prosperna courier for a Manual Payments order, the delivery fee is paid from your Shipping Credits.
  • Manual Payment Methods is different from the Bank Transfer payment option that Philippine stores have in Settings → Shipping. With Bank Transfer, the customer pays into an account shown as your store name c/o Prosperna Philippines Inc., not into your own account.
